Post a journal entry in SeroPOS

Post a manual journal entry at Accounting › Journal Entry (/accounting/journal-entry). Add as many lines as you need, each with an account and a debit or a credit, and SeroPOS refuses to save the entry until total debits equal total credits. Leave the reference number empty to get the next number with your journal prefix. Use journal entries for adjustments such as accruals, depreciation or correcting a misposting.

Steps

  1. Open Journal Entry. In the back office sidebar, click Accounting, then Journal Entry. The list shows past entries with their journal date and who added them.
  2. Start a new entry. Click Add. Leave Ref No empty to auto-generate it, and set the Journal Date.
  3. Add the debit lines. On each line, choose the account and enter the amount in the debit column.
  4. Add the credit lines. Add lines for the other side of the entry with amounts in the credit column. Add more rows if the entry touches several accounts.
  5. Check that it balances. The totals at the bottom must match. If debits and credits differ, SeroPOS will not save and tells you the two sides must be equal.
  6. Add a note and save. Use Additional Notes to explain why the entry was made, then save. The entry now shows in the account ledgers and reports.

Reference numbers and prefixes

Set the Journal Entry Prefix in Accounting › Settings, for example JE-. Every new entry with an empty reference gets the prefix plus the next number, which keeps your journal easy to search.

Edit, delete or reverse

You can edit or delete an entry from its Actions menu. For a period you have already reported on, a reversing entry is the safer correction because it leaves both the original and the fix visible.

Accounting is an add-on module. The Accounting item shows in the back office sidebar only when your subscription includes it and your role has the Accounting permissions.

Frequently asked questions

Why won't my journal entry save?

SeroPOS only saves balanced entries. Add up the debit column and the credit column: they must be exactly equal. Also check that every line with an amount has an account selected.

Can one journal entry have more than two lines?

Yes. Add as many lines as you need, for example one expense debit split across three accounts against one bank credit. Only the totals have to match.

Do POS sales create journal entries?

POS sales and supplier payments post through Map Transactions rather than the Journal Entry screen. Set default accounts per payment method in Accounting › Settings and they post automatically.
