What is a stock transfer?

A stock transfer moves inventory from one location to another and records it in both, so each store's count and value stay right.

When a business has more than one location, or a warehouse and a shop, stock moves between them. A transfer is the record of that move: what went, how much, from where, to where and when. Without it, the sending store shows stock it no longer has and the receiving store sells stock the system says it does not have.

A transfer usually has a status. It is created at the sending location (pending), the goods travel (in transit), and the receiving location confirms what arrived (completed). Stock should leave the sender when the goods leave, and arrive at the receiver when they are counted in. Any difference between sent and received is a discrepancy to resolve, not something to quietly adjust.

Transfers keep stock at cost, so no profit is made by moving goods between your own stores. Freight to move them is a real cost and can be added to the transfer. Good practice is to print a transfer slip that travels with the goods, and to have the receiving store count before they sign.

In SeroPOS, Stock Transfers in the back office record the date, reference, status, from and to locations, products, shipping charges and notes, and print a slip. A transfer cannot be edited once it is marked Completed. Each location keeps its own stock, and the Stock Report and Profit / Loss report can be filtered by location to see each store separately.

Example

A two-store bike shop's downtown store has 12 helmets and the suburban store has none. The owner creates a transfer of 5 helmets at $38.00 cost each, with $15.00 shipping. When the van arrives the suburban manager counts 5 and the transfer is marked Completed: downtown now shows 7 helmets, the suburb shows 5, and the stock value moved is $190.00 plus $15.00 shipping.
