Move stock without breaking your counts

When one store runs low on something the other has plenty of, the simple fix is to move it. Without a record, though, both locations' counts are now wrong. A stock transfer in SeroPOS records the move. Open Stock Transfers › Add in the back office, choose the date, a reference, the from and to locations, add the products and quantities, and save.

Each transfer gets a reference number from your stock transfer prefix, so it can be quoted on the phone or written on the box. Add the products and quantities to send, just as you would on a purchase, and save. The transfer appears in the list straight away for both stores to see.

Statuses and when stock moves

Transfers carry a status, so goods on the road are not counted as sitting on a shelf. A transfer can be pending while it is being picked, in transit while it is on the way, and completed when it arrives. The quantities move when the transfer is completed, at which point it can no longer be edited.

Update the status from the transfer list as the goods move. At a glance, the list shows which transfers have arrived and which are still out. Managers at both stores can see the same list, which cuts down on phone calls asking whether a delivery has left or arrived. Updates take seconds.

  • Pending: being prepared
  • In transit: on the way
  • Completed: received, stock moved, locked

Shipping charges and paperwork

If moving goods costs money, such as a courier or fuel, record it as the transfer's shipping charges. Transfer shipping charges are included in the Profit / Loss report, so the cost of balancing stock between stores is visible. Add notes for anything the receiving store should know. Keep it short.

Print the transfer to send with the goods. The receiving location checks the delivery against it before marking the transfer completed. If anything is short or damaged on arrival, record it before completing, so the counts at both locations reflect what actually arrived and nothing has to be untangled afterwards.

Multi-location stock in one place

Transfers are one part of running several locations in SeroPOS. Each location keeps its own stock, its own low stock alerts and its own reports, and every transfer appears in the stock history of each product it moved, out of one location and into the other. It keeps both sides clear.

Stock transfers are a module you can turn on in Business Settings › Modules, and roles decide who can create them. Each extra location is added at your plan's price. Reference prefixes for transfers are set in Business Settings › Prefixes, so each transfer number is easy to recognise. Keep them short.

Frequently asked questions

How do I move stock between my stores?

In the back office, open Stock Transfers and add a transfer. Choose the from and to locations, the date and reference, add the products and quantities, add any shipping charges, and save. Mark it completed when the goods arrive. The goods then show at the new location.

When does stock actually move?

When the transfer is completed. While it is pending or in transit, the receiving store's count does not yet include it. Once completed, quantities move between the locations and the transfer is locked from editing. That keeps counts honest while goods are on the road.

Can I edit a stock transfer?

Yes, until it is completed. A completed transfer cannot be edited, which keeps the stock history reliable. If something was wrong, record a correction with a stock adjustment or a new transfer. That keeps both locations' records correct. Nothing is lost.

Are transfer costs included in my reports?

Yes. Shipping charges on stock transfers appear in the Profit / Loss report, alongside shipping charges on purchases and sales. That makes the real cost of moving stock visible, so you can decide whether it is worth moving goods or ordering direct to each store.

Can I print a stock transfer?

Yes. Each transfer has a print option, which works as a packing list to send with the goods. The receiving store checks the delivery against it. Keep the printout until the transfer is completed. File it after that, so you have a paper record of every move.
