Scheduling a follow-up

Follow-ups are in the CRM in the back office. Add one with a title, choose the lead or customer, set the start and end time and write a short description of what needs to happen. Pick the type: call, SMS, meeting or email. Assign it to one or more users.

Set a reminder so it is not forgotten. Choose email or SMS and how long before the follow-up it should arrive, in minutes, hours or days. The assigned staff get the reminder, and the follow-up also appears on the back-office calendar. Nobody has to keep a separate diary. It keeps everyone's diary in one place.

Follow-ups in bulk

Advance follow-up creates many follow-ups at once. Choose customers who have had a transaction in the last set number of days, or who have not, or pick customers from selected invoices. SeroPOS creates a follow-up for each, assigned to the people you choose. Each person sees their own list straight away.

Use it to win back regulars who have not been in for 60 days, to check in with everyone who bought a big-ticket item last month, or to call every customer on a list of invoices that need a conversation. One action replaces dozens of individual follow-ups. It turns a list of lapsed customers into a plan for the week.

Keeping track of the day

The CRM dashboard shows today's follow-ups, and the leads screen shows each lead's last and upcoming follow-up. Staff can start the day with a clear list of who to contact and see straight away when a lead has had no contact for too long. Nothing slips through the cracks. Managers can see the whole team's day.

Because follow-ups also appear on the calendar, a manager can see the week's calls and meetings across the team and spot gaps or clashes. It is also a quick way to plan cover when someone is away, since their follow-ups can be reassigned. A glance across the week shows who is overloaded and who has room.

Logging the outcome

After a call or meeting, record what happened in the follow-up log: the customer wants a quote, call back next month, not interested. The log stays with the lead or customer, so the next person to contact them knows the history. Good notes make the next call easier. It keeps the customer from repeating themselves.

CRM reports show follow-ups by user and by contact. They help managers see who is keeping up with their follow-ups and which customers are getting attention. The CRM is part of the Pro plan. Follow-ups work best when everyone logs outcomes the same way. Consistent notes make reports useful. Agree a short format.

Frequently asked questions

Can I get reminded before a follow-up is due?

Yes. When you schedule a follow-up, choose a reminder by email or SMS and how long before it should arrive, in minutes, hours or days. The assigned users receive it. Pick a time that gives them a chance to prepare.

Can I create follow-ups for customers who have not visited in a while?

Yes. Use advance follow-up and choose customers who have not had a transaction in a set number of days. SeroPOS creates a follow-up for each one, assigned to the staff you pick. It is an easy way to win back lapsed regulars.

Can a follow-up be assigned to more than one person?

Yes. Assign one or more users when you schedule it. Each of them sees it in their follow-ups and gets the reminder if one is set. Use it for jobs that need two people, such as a site visit or a big order.

Where do I see today's follow-ups?

The CRM dashboard lists today's follow-ups. They also appear on the back-office calendar, and each lead shows its last and upcoming follow-up on the leads screen. Start each day there and work through the list before the first rush. Clear it before the rush.

Which plan includes follow-ups?

Follow-ups are part of the CRM, which comes with the Pro plan at $50 a month. The 14-day free trial includes everything, with no card needed. Choose a plan before the trial ends to keep your CRM data. Your follow-ups stay in place.
