Capturing leads

Leads are part of the CRM in the back office. Add a lead with their name, business, contact details and address, the source they came from and their life stage. Assign the lead to a member of staff so it is clear who is responsible. Documents and notes can be attached as the conversation goes on.

Sources and life stages are your own lists. Sources might be walk-in, referral, website, trade show or social media. Life stages might be new, contacted, quoted, negotiating and won. Set them up once under Sources and Life Stage in the CRM menu. Keep the lists short so everyone uses them the same way.

The kanban board

Switch the leads screen to the kanban board and each life stage becomes a column. Change a lead's life stage as it moves forward and it moves to the next column. The board gives a quick picture of the pipeline: how many enquiries are new, how many have a quote and how many are close to a decision.

Filter by source and life stage to focus. Each card shows the last and upcoming follow-up, so the team can see at a glance which leads have gone quiet and need a call today. It works well as a quick daily stand-up view for a small sales team. It also keeps the team honest about which leads are really moving.

From lead to customer

When a lead places an order, use Convert to customer on their record. Their details become a customer in Contacts, ready for invoices, pay terms and loyalty points. There is no retyping, and the history from the lead stage stays with the new customer. Their first invoice can be raised straight away.

The CRM dashboard shows lead counts by source and by life stage and the overall conversion, so you can see which sources bring customers who actually buy. That is useful when deciding where to spend on marketing. Spend more where leads turn into customers. Over a few months the numbers show which sources are worth your time.

Reports for the sales team

CRM reports include follow-ups by user, follow-ups by contact and lead-to-customer conversion by user. Drill into a user to see their leads and which ones converted. Managers can see who is working their pipeline and who needs help. Use the reports in regular one-to-ones. Coaching is easier with real figures in front of you.

Permissions keep things fair. Roles can see all leads or only their own, so each salesperson works their own pipeline while managers see the whole board. The CRM is included in the Pro plan. Managers can still see every lead. Choose a plan before the 14-day trial ends to keep your leads and history.

Frequently asked questions

Which plan includes the CRM?

The CRM, including leads, follow-ups, campaigns, call log and the customer portal, is part of the Pro plan at $50 a month. Both plans start with a 14-day free trial with no card needed, and the trial includes everything. Choose a plan before the trial ends.

Can I see leads as a pipeline?

Yes. The leads screen has a kanban board with a column for each life stage. Change a lead's life stage and it moves to that column. A list view is also available, with filters for source and life stage. Filters help you focus on one source.

How do I turn a lead into a customer?

Open the lead and use Convert to customer. Their details become a customer record in Contacts, ready for invoices and sales. The lead's history is kept, and the conversion counts in the CRM reports. Nothing needs retyping. Their history stays attached.

Can each salesperson see only their own leads?

Yes. CRM permissions include access to all leads or own leads only. Give salespeople own leads and managers all leads, so each person works their own pipeline. Managers can still see every lead on the board and step in when a lead needs attention.

Can I track where leads come from?

Set up your own sources, such as referral or website, and choose one for each lead. The CRM dashboard shows lead counts by source, and the conversion report shows which leads became customers. Spend your marketing budget where it works.
