Steps
- Set up taxes in QuickBooks Online. Make sure sales tax is turned on in QuickBooks Online and the tax codes you charge exist there.
- Open the dashboard. In the back office sidebar, click QuickBooks and scroll to Taxes.
- Match each tax. Next to each SeroPOS tax, choose the QuickBooks tax code that should receive it. Rows left on not mapped are not ready to sync.
- Save. Click Save tax mapping.
- Retry any failures. Invoices that failed for a missing tax code retry automatically once the mapping is saved. Check Sync health to confirm.
Tips for Canadian taxes
Map each SeroPOS rate to the QuickBooks code with the same rate: a 5% GST rate to GST, 13% HST to HST ON, a combined GST and PST group to the matching combined code. A mismatch means QuickBooks calculates a different tax from the receipt, so check one synced invoice against its receipt after mapping.
There is one row per SeroPOS tax, so a tax can't be mapped twice or skipped by accident.
Good to know
Use Reset if you need to clear the mapping and start again. This page is for QuickBooks Online; Desktop has its own Taxes tab. QuickBooks Online is supported for Canadian companies. QuickBooks is part of the Pro plan. The QuickBooks item shows in the back office sidebar when your subscription includes it and you're an admin or hold the QuickBooks permission.
Frequently asked questions
Why is the tax code list empty?
SeroPOS reads tax codes from your QuickBooks Online company. Turn on sales tax and add your tax agencies and rates in QuickBooks, then reload the dashboard.
Do I need to map tax before syncing invoices?
Yes. Invoices with a tax that isn't mapped can't be sent correctly. Map every tax you charge before the first invoice sync.
Is QuickBooks Desktop tax set up here too?
No. QuickBooks Desktop has its own Taxes tab under QuickBooks Desktop, where SeroPOS can build the tax structure for you or match codes by rate.
