Steps
- Set up taxes in SeroPOS. Make sure your tax rates and tax groups are right in SeroPOS first, for example GST 5% and PST 7%.
- Open the Taxes tab. Go to QuickBooks › QuickBooks Desktop › Taxes.
- Fetch the tax codes. If you haven't already, click Fetch from QuickBooks on the Accounts & items tab and let Web Connector run, so SeroPOS reads your Sales Tax Code List.
- Build the structure. To have SeroPOS create everything, enter the Tax agency, such as Receiver General, and click Build in QuickBooks.
- Or match existing codes. If QuickBooks already has your taxes, click Map tax codes automatically. Codes are matched by rate, and any you set yourself are left alone.
- Check and save. Review the code next to each SeroPOS tax. You can type a code from Lists › Sales Tax Code List by hand, such as G or H, then save.
- Test an invoice. Sync one sale and compare the tax on the QuickBooks invoice with the receipt before syncing more.
Why build rather than match
Every line is sent with its tax code and QuickBooks calculates the tax, so a wrong code means wrong tax on every sale. When SeroPOS builds the structure, the two can't disagree because one made the other. Anything you've already mapped is left exactly as it is.
Pick the agency from the list where possible; taxes your file already charges reuse their own agency.
Good to know
Canadian editions handle GST, HST, PST and QST; US editions use sales tax items. Do this before syncing invoices. QuickBooks is part of the Pro plan. The QuickBooks item shows in the back office sidebar when your subscription includes it and you're an admin or hold the QuickBooks permission.
Frequently asked questions
Do I have to create tax items in QuickBooks Desktop by hand?
No. Build my tax structure in QuickBooks creates the sales tax items, groups and codes from your SeroPOS taxes and maps them for you.
Why does SeroPOS match taxes by rate and not by name?
Names vary from file to file, but the rate is what decides the tax charged. Matching by rate means a code is only mapped if it charges the same percentage as your SeroPOS tax.
What tax agency should I enter?
The agency you remit to, for example Receiver General for GST/HST in Canada. Choose it from the list if your file already has it.
