Steps
- Open the dashboard. In the back office sidebar, click QuickBooks.
- Connect. On the QuickBooks Online card, click Connect to QuickBooks.
- Sign in to Intuit. Sign in with the Intuit account that owns your QuickBooks Online company, pick the company and approve access.
- Run the setup wizard. Back on the dashboard you'll see First-time setup required, sync is paused. Click Open the setup wizard and choose how your existing data comes together.
- Map your taxes. In Taxes, match each SeroPOS tax to its QuickBooks tax code and click Save tax mapping.
- Map accounts and items. In Accounts & charge items, choose the accounts and items SeroPOS should use and click Save account mapping.
- Check the first sync. Make a test sale, wait a few minutes, and check that the completed count rises and the invoice appears in QuickBooks Online.
What syncs to QuickBooks Online
SeroPOS sends customers, products as items, sales as invoices, refunds as credit memos, payments and expenses. Sync is one-way: changes made in QuickBooks don't come back into SeroPOS. If a synced record is deleted in QuickBooks, SeroPOS notices and marks its link so it isn't updated blindly.
Sales go across one invoice per sale. Grouped day-end invoices and purchase-side documents such as bills are QuickBooks Desktop features.
Disconnecting
Click Disconnect on the Online card to revoke the connection; syncing stops. A disconnect from Intuit's side is picked up too. QuickBooks Online is supported for Canadian companies. QuickBooks is part of the Pro plan. The QuickBooks item shows in the back office sidebar when your subscription includes it and you're an admin or hold the QuickBooks permission.

How often does SeroPOS sync to QuickBooks Online?
Every 5 minutes. New and changed customers, items, invoices, credit memos, payments and expenses are queued as they happen and sent on the next run.
Does QuickBooks Online data come back into SeroPOS?
No. The sync pushes from SeroPOS to QuickBooks. The setup wizard can import existing items and customers once at the start, but ongoing sync is one-way.
Does it work with QuickBooks Online outside Canada?
QuickBooks Online is supported for Canadian companies. If your company is in another country, contact support before connecting.
Can I send purchases and bills to QuickBooks Online?
Not today. Supplier bills, purchase returns and day-end grouped invoices are sent to QuickBooks Desktop only. QuickBooks Online receives sales, payments, customers, items and expenses.
