Import your books from QuickBooks Desktop

Move your existing books out of QuickBooks Desktop with Import from QuickBooks, reached from the strip on the QuickBooks dashboard. A separate, read-only Web Connector application reads your chart of accounts, customers, suppliers, items, stock and balances over the Web Connector, with no export file. You check the figures against QuickBooks' own reports, commit the import into your books, compare trial balances, and can undo it if nothing has traded against it since.

Steps

  1. Open the import. On the QuickBooks dashboard, click Import from QuickBooks.
  2. Create the import connection. Click Create the import connection and copy the import password; it's shown once. Download the .qwc file and add it to Web Connector on the QuickBooks PC.
  3. Choose how much to bring. Pick Bring this financial year across to replay every invoice, bill, payment, expense and adjustment from the first day, or Opening balances only.
  4. Set the dates. Enter the First day of the financial year and the Last day to bring across, plus an optional label. Click Start reading.
  5. Run the read. On the QuickBooks PC, open the company file signed in as Admin in single-user mode, tick SeroBooks Import in Web Connector and press Update Selected. It runs only when you ask.
  6. Check against your books. Compare what customers owe and what's owed to suppliers with QuickBooks' aging, check the opening trial balance, and review what will be created and any problems.
  7. Commit. Choose the location for opening stock and click Commit the import. This is the only step that changes anything.
  8. Compare trial balances. Check the trial balance comparison account by account, and undo the import if something is wrong.

Safe by design

Reading writes nothing to your books, and the import application only ever sends queries to QuickBooks, so your company file is never changed. The connection is bound to one company file; a different file is refused. A stalled read can resume, and Retry the steps that did not land re-reads only those steps.

This import is separate from QuickBooks Desktop sync, which keeps running as normal.

Limits

Undo the import removes everything that run created, and refuses if anything has traded against it since. Commit and undo need the import commit permission. QuickBooks holds one stock quantity per item, so opening stock lands at the location you choose. Your SeroPOS address must use HTTPS. QuickBooks is part of the Pro plan. The QuickBooks item shows in the back office sidebar when your subscription includes it and you're an admin or hold the QuickBooks permission.

Frequently asked questions

Does the import change my QuickBooks company file?

No. The import connection only reads. It runs as its own Web Connector application and sends queries only, so nothing in your company file is changed.

Should I bring the whole year or opening balances only?

Bring this financial year across if you want this year's invoices, bills and payments in SeroPOS for reporting. Choose opening balances only if you want a clean start from one date.

Can I undo an import?

Yes. Undo the import removes everything that run created, as long as nothing has traded against it since. Past imports are listed on the page.
