Steps
- Open Health. Go to QuickBooks › QuickBooks Desktop and open the Health tab. The tab shows a count when something needs attention.
- Read the counts. Queued is waiting for the next Web Connector run, completed is in QuickBooks, and needs attention was rejected.
- Find the cause. Under What is holding the sync up, read the problem message. It names what to fix, usually a name or setting on another tab or in QuickBooks.
- Run the pre-flight check. The Pre-flight check compares mapped names with your last Fetch from QuickBooks. Renamed something in QuickBooks? Fetch again to refresh.
- Retry. After fixing the cause, click Retry failed. Retrying without a fix fails the same way; nothing is lost, records wait until they succeed.
- Read stock from QuickBooks. Under Inventory reconciliation, click Read stock counts from QuickBooks and let Web Connector run.
- Review differences. The table lists items whose QuickBooks quantity differs from SeroPOS, all locations combined, largest first.
- Correct QuickBooks. Click Correct QuickBooks to post inventory adjustments that bring QuickBooks into line with SeroPOS.
Alerts
When records fail, SeroPOS alerts you in the app and by email, so you don't have to keep checking. Most failures are a missing tax code, account or item, and they clear as soon as the mapping exists.
Stock: which side wins
SeroPOS is the source of truth for stock. QuickBooks Desktop keeps one stock pool per company file, so the comparison adds up all your locations. Stock counts are also read from QuickBooks nightly. QuickBooks is part of the Pro plan. The QuickBooks item shows in the back office sidebar when your subscription includes it and you're an admin or hold the QuickBooks permission.
Frequently asked questions
Why are records stuck in QuickBooks Desktop sync?
Open the Health tab and read What is holding the sync up. Each group names the cause, such as a missing account or tax code. Fix it, then click Retry failed.
Will retrying create duplicates?
No. SeroPOS tracks each record's link to QuickBooks and adopts an existing record with a duplicate name instead of creating a second one.
My stock in QuickBooks doesn't match SeroPOS. What do I do?
Use Inventory reconciliation: read stock counts from QuickBooks, review the differences, then click Correct QuickBooks. SeroPOS posts inventory adjustments so QuickBooks matches SeroPOS.
