A portal where customers see their account
Give customers and suppliers their own login so they can check their account whenever they like. Customers see their purchases, ledger and profile, and restaurant customers can book a table at any of your locations without phoning.

Profile and password
Contacts keep their own profile up to date and change their password.
Who the portal is for
Trade customers, account customers and suppliers often need to check their balance or look up an old invoice. Without a portal, that means an email or a phone call to you, and someone stopping work to find the answer. The portal lets them look it up themselves, at any time.
It suits wholesalers with regular trade accounts, caterers and restaurants with corporate customers, and any business whose suppliers like to confirm what has been paid before they call. It works best for customers who deal with you regularly, rather than one-off walk-ins. Regular trade customers get the most out of it.
Creating portal logins
In the CRM, go to Contacts Login. Choose the customer or supplier and add a contact person with their name, email and a password. You can add more than one contact person for the same business, for example an owner and a bookkeeper. All Contacts Login shows every portal login across your contacts.
Give the contact the portal sign-in details. They see a separate, simple menu that only shows their own information, with none of your back office. Tell them what they can do there, and remind them to keep their password private. They can change it themselves from their profile once signed in.
- CRM, then Contacts Login
- Pick the customer or supplier
- Add a contact person with email and password
- Share the sign-in details
What contacts can see and do
After signing in, a contact lands on their dashboard. From there they open their profile and password, the sales they made with you if they are a customer, or the purchases you made from them if they are a supplier, and their ledger with invoices, returns and payments. Everything is read from your own records, so it always matches what your staff see in the back office.
The ledger is the most useful part. A customer about to pay their account can see exactly which invoices are open and the total, so they pay the right amount first time. Fewer questions reach your inbox. Your team spends less time looking up balances for customers who can now see them on their own.
Table bookings for restaurants
Customers can make table bookings from the portal. They choose a location and the booking details, and the booking appears in your Bookings list in the back office next to the ones staff entered. They can also see their own bookings. Staff see portal bookings with everything else. They are handled the same way.
This works well for regulars and corporate customers who book often. For one-off guests, staff can still take bookings by phone and enter them under Bookings with the option to send an email or SMS confirmation. The CRM, including the portal, is part of the Pro plan. It saves regulars a phone call every time they want a table.
Frequently asked questions
How do customers log in to the portal?
Create a portal login for them in the CRM under Contacts Login, with their email and a password. They sign in with those details and see only their own dashboard, sales, ledger, profile and bookings. They can change their password themselves.
Can suppliers use the portal too?
Yes. Create a portal login for a contact person at the supplier. They see the purchases you made from them and their ledger, so they can check what has been paid without contacting you. Each supplier sees only its own records.
Can customers book a table online?
Customers with a portal login can create table bookings by location from the portal. The booking appears in the Bookings list in your back office. There is no public booking page for guests without a login. Staff can enter bookings for everyone else.
Can customers see other customers' information?
No. Each portal login is tied to one contact, and the portal shows only that contact's own sales or purchases, ledger, profile and bookings. Their records are private to them, and the portal never shows your back office or any other contact's details.
Which plan includes the customer portal?
The portal is part of the CRM, which comes with the Pro plan at $50 a month. Both plans start with a 14-day free trial, no card needed. Choose a plan before your trial ends. The trial includes the full CRM, so you can try the portal with a few customers first.
