SeroPOS for accountants and bookkeepers

Accountants with POS clients spend too much time chasing passwords, exporting reports and re-keying daily sales. SeroPOS lets the client invite you with a one-time code, sends working papers as one Excel pack and posts sales to QuickBooks Desktop or Online.

What you get

Accountants bookkeepers in SeroPOS

Invite Accountant

The client generates a one-time code that lets your practice open their books, with no shared password.

Access log

The client sees who opened their books, when and which screen, and can withdraw access at once.

Working papers pack

With the Accounting add-on, download TB, BS, P&L, GL and related reports as one Excel file.

QuickBooks Desktop

Post sales, payments, customers, items and taxes to the client's company file, with accountant mode for many clients.

QuickBooks Online

Push customers, items, invoices, payments and expenses automatically for Canadian companies.

Tax and P&L reports

Tax, profit and loss, register and payment reports filtered by date and location.

Access without the shared password

In the back office, the client's admin opens Invite Accountant and generates a one-time code that is valid for 30 minutes. They send it to you, and your practice uses it to connect. The screen lists every accountant with access, with the practice, status and the date access began, and the client can allow or disconnect each one.

A log called Who has opened your books lists when someone from the practice opened the books, who it was and which screen they viewed. Withdrawing access takes effect immediately. Clients can also turn on the company rule that requires two-step verification for everyone who signs in to their account.

  • One-time code valid for 30 minutes
  • Allow or disconnect each practice
  • Log of who opened which screen
  • Withdrawal takes effect immediately

Working papers in one download

Clients with the Accounting add-on module have double-entry books inside SeroPOS: a chart of accounts, journals with reversal, transfers, budgets and POS payments mapped to ledger accounts. The reports cover trial balance, ledger, balance sheet, statement of cash flows and receivables and payables ageing, and the client can map each payment method to the account it should post to.

Working papers bundle the trial balance, balance sheet, profit and loss, general ledger and related reports into one Excel pack, named by client and period. An accountant share link lets you download the pack with a token; it expires and the client can revoke it. No more emailing six exports at year end.

Posting to QuickBooks Desktop

On the Pro plan, SeroPOS posts to QuickBooks Desktop 2021 or later through the Web Connector, Canadian or US edition. A setup guide walks through creating the connection, downloading the .qwc file and scheduling it. Accountant mode supports many clients on one PC, with one company file and one .qwc per client. A fingerprint check stops data going to the wrong company file.

Sales can post as one invoice per sale or as one invoice per day grouped by product or category, using each location's day-end time. Refunds can be issued right away or kept as a credit. Purchases, supplier payments and expenses can be sent too, and a health screen lists anything holding up the sync.

QuickBooks Online and the reports clients already have

For Canadian companies on QuickBooks Online, SeroPOS connects with OAuth and pushes customers, items, invoices, credit memos, payments and expenses every five minutes. A first-time wizard pulls, pushes or matches existing records, and a cutover date keeps older transactions out. Sync health lists recent failures, which retry once the cause is fixed.

Without any add-on, the back office gives you the Tax Report with input, output and expense tax, Profit / Loss with breakdowns by product, category, location and day, the Daily Sales Report with tax summary and payment methods, the Register Report and the Activity Log. Most export to a spreadsheet or print.
