Invite your accountant in minutes
Let your accountant or bookkeeper into your books without sharing your password. Generate a one-time code that lasts 30 minutes, see which practices have access and when someone opened your books, and withdraw access the moment you choose.
Accountant access in SeroPOS
One-time code
Generate a code for your accounting practice that works once and expires after 30 minutes.
No shared passwords
Your accountant connects with the code, so you never hand over your own login.
Practices with access
See each practice connected to your books, its status and the date it was given access.
Allow or disconnect
Approve a practice's access or disconnect it from the same list.
Who opened your books
A log shows when someone opened your books, who it was and which screen they viewed.
Instant withdrawal
Withdrawing access takes effect straight away, with no waiting for a password change.
Why not just share a login
Many owners give their accountant their own username and password. It works, but everything the accountant does looks like it was done by the owner, the password is now known outside the business, and taking access away means changing a password everyone else uses too. It also makes it hard to tell later who changed what, which matters at year end.
Invite Accountant fixes that. The practice connects with a code, their visits are logged separately and you can cut access off without touching your own login. You stay in control of who can see your books, for how long, and you can check what they looked at whenever you like.
Inviting your accountant
Invite Accountant is under Settings in the back office and is available to administrators. Generate a code and give it to your accounting practice by phone or email. The code works once and lasts 30 minutes, so if it is not used in time it simply expires and you make a new one.
Once the practice has connected, it appears in the list of accountants with access, showing the practice, its status and the date access started. Use Allow to approve it, or Disconnect to remove it. Only practices you allow can open your books. Check the list after each new connection to make sure only practices you expect are there.
- Settings, then Invite Accountant
- Generate a one-time code
- Give it to your practice within 30 minutes
- Allow the practice when it appears
Seeing who looked
The Who has opened your books log lists each visit: when it happened, the person and the screen they opened. If your accountant says they reviewed your sales tax last week, you can see it. If you see a visit you did not expect, you can ask about it. The log fills in by itself.
This is useful for practices with several staff. You can see which person at the firm is working on your file, and spot it if someone who no longer works there still has access. Review the list after staff changes at your accountant's office. Disconnect anyone you do not recognise straight away.
Taking access away
When the year-end work is done, or you change accountants, disconnect the practice. Withdrawing access is immediate; the next time they try to open your books, they cannot. Your own login and your staff's logins carry on as normal, with nothing to reset or change. It is a clean end to the engagement, with no passwords to change.
If you only need to send reports rather than give access, the Accounting add-on's working papers can be shared with a link that expires. Use whichever suits the job: a link for a one-off pack of reports, Invite Accountant when your accountant needs to work in your books. Many owners use both.
Frequently asked questions
How do I give my accountant access to SeroPOS?
As an administrator, go to Settings, then Invite Accountant, and generate a one-time code. Give it to your accounting practice; it works once and lasts 30 minutes. When they connect, allow the practice from the list. Codes that are not used in time simply expire.
Can I see what my accountant looked at?
Yes. The Who has opened your books log shows when someone opened your books, who it was and which screen they viewed. Check it from time to time, especially around year end, so you know which screens your accountant has been working in.
How do I remove my accountant's access?
Open Invite Accountant and use Disconnect on the practice. Withdrawing access takes effect straight away. Your own login and your staff's logins are not affected. Reconnect the same practice later with a new code if you need them again. Your books stay exactly as they were.
What if the code expires before my accountant uses it?
Generate a new one. Codes last 30 minutes and work once, so an unused code simply stops working. That keeps an old code from being used later by someone else. Codes are deliberately short-lived, so share them only when your accountant is ready to connect.
Who can invite an accountant?
Invite Accountant is available to administrators only. Staff with other roles cannot create codes or change which practices have access. That keeps control of your books with the people responsible for them, rather than with anyone who happens to sign in.
