POS for florists

No two arrangements cost the same, a wedding is booked and paid for months before the flowers exist, and the shop still sells vases and cards over the counter. SeroPOS prices the custom work on the spot, takes the deposit and tracks the hard goods.

Pricing the custom work

Most of what a florist sells is made to order. Open-price items let staff add a line such as Custom Bouquet and type the price quoted to the customer, so the sale is recorded at the right amount without a product for every combination. If you sell set sizes, make a product with variations such as Small, Medium and Large at fixed prices, and use open price for anything outside them.

Line notes on the till hold the card message, the colour brief or the delivery instructions, and the sale note prints on the order. Add-ons such as a vase upgrade or a balloon can be modifiers with their own prices. Designers see the order on the printed receipt, so nothing gets lost between the counter and the workbench.

Weddings and events: quote, deposit, balance

Event work starts with a quote. Create a quotation in the back office with the bouquets, centrepieces and installation as lines, then download the PDF or send the link. The couple can open the quote online and accept or decline it. When they accept, convert it into an invoice, so you are not keying the same lines twice.

Take the deposit as a partial payment on the invoice. The balance stays open on the customer's account, the dashboard lists invoices with payments due, and Receive Payment finds the invoice by customer or phone when the final payment comes in. Invoices can have pay terms, and notification templates send payment reminders by email or SMS.

Deliveries

Invoices carry a shipping address, shipping charges, delivery details and a shipping status, plus who it was delivered to. The Shipments screen lists orders by shipping status, customer and date, so the driver's run for the day is one filtered list. Change the status as each order goes out, and print a packing list PDF to send with the arrangement.

Phone orders taken at the till can use the customer's saved address. The sale's custom fields can hold a delivery date or time window if you add them in Custom Labels, and they can be made required so nobody forgets to ask. Staff notes on the sale stay internal, while the sale note can print on the delivery copy for the driver.

Vases, cards and the hard goods

Vases, ribbon, cards, plush, balloons and chocolates are ordinary products with stock, alert quantities and suppliers, and they scan at the till like any retail item. The dashboard lists the ones running low, and purchases record supplier deliveries and their cost. Stock adjustments record broken vases with a reason, and the Stock Report values what is on the shelves.

Fresh flowers are harder to count stem by stem, and many florists track them as an expense category rather than as stock. Expenses record the wholesale market run with the category, amount, tax and a photo of the receipt, and the Profit / Loss Report brings sales, purchases and expenses together for the month.

Frequently asked questions

How do florists price custom arrangements in a POS?

Use open-price items. Staff add a line such as Custom Arrangement and type the price agreed with the customer, along with a description or note. Set sizes can be products with fixed-price variations, and add-ons like a vase upgrade can be modifiers with their own price.

Can I take a deposit for a wedding?

Yes. Create an invoice, or convert an accepted quotation into one, and record the deposit as a partial payment. The balance stays open on the customer's account and is collected with Receive Payment. The dashboard lists invoices with payments due soon.

Can customers accept a quote online?

Yes. Each quotation has a PDF and a public link. The customer opens the link and can accept or decline the quote, and you can turn an accepted quote into an invoice. The quote link can also be sent with the New Quotation notification template.

Does SeroPOS manage flower deliveries?

Invoices hold a shipping address, delivery charge, delivery details and a shipping status, and the Shipments screen filters orders by status and date. There is no driver app or route planning, so drivers work from the filtered list or the packing list PDF.

Can I track fresh flower inventory?

You can add stems as products and track them, but stem counts change quickly. Many florists track vases, sundries and gifts as stock and record flower buying as expenses, which still shows in the Profit / Loss Report alongside sales.
