How to connect your POS to QuickBooks Desktop

QuickBooks Desktop runs on a PC, so a POS reaches it through Intuit's Web Connector. Plan how sales should land in the books, map accounts, items and taxes once, then let the connector send data on a schedule and check its health each week.

  1. Check your QuickBooks edition Confirm the QuickBooks Desktop version, edition and country, and that the PC it runs on can stay on.
  2. Back up the company file Make a full backup before connecting anything, so you can restore if the first sync is not what you expected.
  3. Decide how sales should post Choose between one invoice per sale and one summary per day, and how refunds should be handled.
  4. Install and add the Web Connector app Download the .qwc file from the POS, add it to the Web Connector, enter the password and set the schedule.
  5. Map accounts, items and taxes Match POS sales, discounts, tips, shipping and each tax rate to the right QuickBooks accounts, items and tax codes.
  6. Send data in order Send products, then customers, then sales, then suppliers, purchases and expenses, checking each step in QuickBooks.
  7. Check the sync regularly Look at what failed and why, fix the cause and retry, and compare totals with QuickBooks reports.

How the Web Connector works

QuickBooks Desktop has no cloud address for a POS to call. Intuit's free Web Connector runs on the same Windows PC as QuickBooks and checks in with the POS on a schedule, every few minutes or as often as you set. Each time, it asks what is waiting and passes those records into the company file. Nothing happens while the PC is off, asleep or logged out, so choose a PC that stays on.

The POS gives you a small .qwc file that tells the Web Connector where to connect. You add the file, enter the password from the POS, approve access once in QuickBooks, and tick the schedule.

Per sale or per day

The biggest decision is how much detail goes into QuickBooks. One invoice per sale gives full detail but creates thousands of transactions a month for a busy restaurant. One summary per day, grouped by product or by category, keeps the books readable and is what most accountants prefer for a high-volume counter. Decide with your accountant before the first sync, because changing later means cleaning up what was already sent.

Refunds need a decision too: refund straight away (a credit memo and refund cheque) or keep the amount as a credit on the customer.

Mapping is where accuracy is won

Every kind of money the POS records has to land somewhere in QuickBooks: sales income, cost of goods, inventory, discounts, tips, shipping, packing charges, card surcharges and rounding. Each tax rate needs a matching QuickBooks tax item or code. Map these once, carefully, with your accountant. Most sync errors come from a missing or mismatched mapping, not from the connector itself.

In QuickBooks, turn off 'Automatically apply payments' so the POS controls which invoice each payment applies to.

Send in order and check

Send products and customers before sales, because a sale cannot refer to an item QuickBooks does not have yet. Then send sales, then suppliers, purchases and expenses. After each step, open QuickBooks and look at a few records. Once the daily sync is running, check weekly for failures and compare the POS sales report with QuickBooks for the same dates.

Doing it in SeroPOS

SeroPOS connects to QuickBooks Desktop 2021 or later (Pro, Premier or Enterprise, Canadian or US edition) on the Pro plan. Everything is under QuickBooks in the back office sidebar, from the dashboard's Desktop card.

  • Setup guide: five steps to create the connection, download the .qwc, add it to the Web Connector, enter the password and tick the every-minute schedule.
  • Connection: create the connection, download the .qwc, regenerate the password, and see when the Web Connector last checked in. A company-file fingerprint stops data going to the wrong file.
  • Accounts & items: fetch the QuickBooks catalogue, then map or 'Create everything in QuickBooks', including income, COGS, inventory, discount, tip, shipping, packing, surcharge and rounding.
  • Taxes: 'Build my tax structure in QuickBooks' creates tax items, groups and codes; mapping is by rate, with a warning on any mismatch.
  • Invoices & refunds: one invoice per sale, or one per day grouped by product or by category; refund right away or keep as a credit.
  • Send data: products, customers, invoices (or Day-end with a preview), suppliers, purchases and expenses, in that order.
  • Health: what is holding the sync up, a pre-flight check of mapped names, retry failed, and an inventory check that compares stock with QuickBooks.

Frequently asked questions

Which QuickBooks Desktop versions are supported?

SeroPOS works with QuickBooks Desktop 2021 or later, Pro, Premier or Enterprise, in the Canadian or US edition, on Windows with the Web Connector installed. QuickBooks Online is a separate connection.

Does the PC with QuickBooks need to stay on?

Yes, while you want data to flow. The Web Connector runs on that PC and only checks in when the PC is on and the company file can be opened. Anything waiting is sent the next time it runs.

Should I send every sale or a daily summary?

For high-volume businesses a daily summary, grouped by product or category, keeps QuickBooks readable and is what many accountants prefer. Low-volume or invoice-based businesses often send one invoice per sale. SeroPOS offers both for QuickBooks Desktop.

Can I move my existing QuickBooks Desktop data into SeroPOS?

Yes. SeroPOS has a separate, read-only Import from QuickBooks Desktop that reads accounts, customers, vendors, items and open balances through its own Web Connector file, checks them against your books and can be undone if nothing has traded since.
