Know before the shelf is empty

Running out of a best seller costs sales and annoys regulars. Low stock alerts in SeroPOS give you a warning first. On each product, set an alert quantity: the point at which you want to reorder. When stock at a location falls to that level or below, the product appears in the Product Stock Alert table on the back office dashboard.

Use the dashboard's location filter to see one store at a time, which helps when each location orders for itself. Check it at the start of each day, or before you place your weekly order with a supplier, and you will rarely be caught out by an empty shelf again.

Setting alert levels

Alert quantity is on the product form in the back office, beside Manage Stock, and on the product form in the app's Admin › Products. Base it on how fast the item sells and how long it takes to arrive. A product that sells ten a day with a three-day lead time needs an alert well above thirty.

Products with Manage Stock turned off do not have alerts, since there is no count to watch. If an item keeps landing on the list too late, raise its alert quantity, and if it shows up too early, lower it. Small changes over a few weeks find the right level for each product.

  • Alert quantity: when to warn
  • Lead time: how long the supplier takes
  • Reorder quantity: how many to order

Lead time and reorder quantity

Two more fields help you act on the alert. Lead time records how long a supplier usually takes to deliver the product. Reorder quantity records how many you normally order. When a product shows on the alert list, those figures tell whoever is ordering what to buy without checking old invoices.

From there, record the order as a purchase in the back office, and the stock rises when it is received. Over time, the lead time and reorder quantity fields become a record of how each supplier performs, which helps when you negotiate terms or choose between suppliers. Keep both up to date.

Alerts alongside other warnings

The dashboard gathers several warnings in one place. Beside Product Stock Alert sit Stock Expiry Alert, for products nearing their expiry date, and the sales and purchase payments due in the next week. A quick look at the start of the day covers what to reorder, what to discount before it expires and who to chase for payment.

For a fuller picture, the Stock Report shows current stock for every product, filtered by location, category or brand. Between the alert list and the Stock Report, you have a full view of what to reorder now and what will need attention soon. Check both weekly at least. It only takes minutes.

Frequently asked questions

Where do I see low stock alerts?

Low stock products appear in the Product Stock Alert table on the back office dashboard. Use the location filter to see each store separately. The list includes every managed product whose stock is at or below its alert quantity. Check it daily.

How do I set a low stock level?

Open the product in the back office or in the app's Admin › Products and enter an alert quantity. The product must have Manage Stock turned on. When stock reaches that number, it shows on the dashboard alert list. Adjust it as sales change.

What are lead time and reorder quantity for?

Lead time is how long a supplier usually takes to deliver. Reorder quantity is how many you normally buy. Both are stored on the product so the person ordering knows when and how much to reorder. Update them when suppliers change their delivery times.

Does SeroPOS reorder stock for me?

No. SeroPOS warns you and stores the reorder quantity, and you record the purchase yourself in the back office. That keeps you in control of what is ordered from each supplier. Use the alert list to build each order. Then record it.

Can I get alerts for each location?

Yes. Stock is tracked per location, and the dashboard has a location filter, so each store can check its own low stock list. Owners can check every location from one dashboard by changing the filter. It takes a click to switch.
