Cash pay outs with a printed slip

When cash leaves the drawer for milk, a delivery tip or a window cleaner, record it as a pay out. SeroPOS prints a slip and counts it in the end-of-day report so the drawer still balances.

In the daily report

Drawer still balances

Because pay outs are recorded, the counted cash at closing can be matched to sales less pay outs.

Why record pay outs

Small amounts of cash leave every till: a run to the shop for lemons, cash for a courier, a tip for a delivery driver, a refund on a bottle deposit. If those amounts are taken without a record, the drawer comes up short at closing and nobody can say why. Over a month the gaps add up, and honest staff end up under suspicion.

A pay out records the cash leaving the drawer as a deliberate event, with an amount, a reason and a printed slip. At closing, the pay outs on the daily report explain the gap between cash sales and the cash in the drawer. The slip and the purchase receipt together give your bookkeeper what they need.

Recording a pay out

On a tablet, tap Cash Pay Out in the home screen Quick Actions or Pay Out on the floating action dial. On a phone, use Cash pay out on the speed dial. The Cash Out window asks for the amount and a note. Write something specific, such as 'Milk and lemons, corner store', so the entry makes sense later.

Before saving, SeroPOS warns that a pay out cannot be reversed, so the cashier checks the amount. Once confirmed, the pay out is recorded and a slip prints on the receipt printer. Clip the slip to the shop's receipt and keep both in the drawer until the end of the shift.

  • Tap Cash Pay Out or Pay Out
  • Enter the amount
  • Add a clear note
  • Confirm the warning
  • Keep the printed slip with the purchase receipt

Pay outs at the end of the day

The daily sales report in the app shows a Payouts card with the total for the period, and a Payout section listing each one. The same figures print on the thermal Z report. When you close the register with the counted cash, the pay outs explain the difference between cash sales and cash in the drawer.

For a clean cash-up, count the drawer, subtract the opening float and compare it with cash sales minus pay outs. If the numbers match, the shift balances. If they do not, the pay out list is the first place to check, because a missing note or a mistyped amount is a common cause.

Good practice for petty cash

Decide what pay outs are allowed for, such as supplies, deliveries and small repairs, and make sure staff know the list. Ask for a receipt for every purchase and a clear note on every pay out. For larger or regular costs, pay by card or invoice and record them as expenses in the back office instead of taking cash from the till.

Because a pay out cannot be reversed, a mistake is best corrected with a note to the manager and an adjustment at cash-up, rather than a second entry that confuses the report. Reviewing pay outs weekly takes a couple of minutes and quickly shows if the habit is drifting or one shift needs a reminder.

Frequently asked questions

How do I record cash taken out of the till in SeroPOS?

Tap Cash Pay Out in Quick Actions or Pay Out on the floating dial, or Cash pay out on the phone speed dial. Enter the amount and a note, confirm the warning, and SeroPOS records the pay out and prints a slip for your records.

Can I undo a cash pay out?

No. SeroPOS warns before saving that a pay out cannot be reversed. Check the amount and note before you confirm. If a mistake slips through, note it for the manager and account for it when you count the drawer at the end of the shift.

Where do pay outs show in reports?

The daily sales report in the app has a Payouts card with the total and a Payout section listing each pay out with its note. The printed Z report includes the same figures, so you can match them to the slips in the drawer.

What is the difference between a pay out and an expense?

A pay out is cash taken from the till drawer during a shift, recorded at the till. An expense is a business cost recorded in the back office, with a category, date and payment method, whether paid by cash, card or bank. Use pay outs for small cash purchases at the till.

Should staff keep receipts for pay outs?

Yes. The printed pay out slip shows the amount and note, and the shop receipt shows what was bought. Keeping both together in the drawer until closing makes cash-up quick and gives your bookkeeper a full record of where the cash went.
