What the report lists

Open Reports, then Product Purchase Report, and set a location and a date range. Every purchase line in that period appears as a row. Instead of seeing that you spent a certain amount with a supplier, you see each product, how many came in and at what price. Choose all locations to see the whole business.

That detail is what makes the report useful for cost checks. Search or sort the list by a product and you have its purchase history in one place, with the supplier and reference for each delivery. The reference number takes you back to the original purchase if you need to see the full order, its tax and its payments.

Tracking cost price changes

Suppliers rarely announce small price rises. Running the product purchase report for a staple, such as cooking oil, coffee beans or a popular phone case, shows the unit price on each delivery. When it creeps up, you'll see it here before it shows as thinner margins. A year of deliveries in one list makes the trend plain.

When you add a purchase in SeroPOS, the purchase screen can update a product's selling price from the new cost and margin, if that option is turned on in Business Settings on the Purchases tab. The report then gives you the record of what changed and when. That keeps shelf prices in step with cost.

Comparing suppliers

If you buy the same product from more than one supplier, the report puts their prices side by side over time. It's a simple way to see who has been cheaper, who delivers larger quantities and who you've drifted away from. Set a long date range, a year or more, to see the trend rather than one delivery.

For a supplier's whole account, including returns and the balance still owed, use the customer and supplier report. For what you've paid them and how, use the purchase payment report. Each supplier's own page also has a purchases tab and a supplier stock report. Between them you see the price, the paid amount and what's still owed.

Keeping purchase records complete

The report reflects purchases entered under Purchases, Add Purchase. Each line records the unit cost before and after discount and tax, the quantity and, where turned on, the lot number and expiry dates. Purchases in another currency carry an exchange rate. Additional shipping charges and an order discount can be added to the purchase too.

Stock that arrives without a purchase being entered won't appear, and neither will its cost. Entering each delivery as it's received keeps this report, the stock report and the profit and loss report working from the same cost prices. If deliveries are sometimes received in a rush, make a habit of entering them the same day.

Frequently asked questions

How do I see the purchase history of a product?

Open the product purchase report, set a wide date range and filter or search for the product. Each delivery shows as a row with supplier, reference, date, quantity, unit price and subtotal, so the whole history is in one list.

Can I see what I paid each supplier for a product?

Yes. Each row names the supplier and the unit price for that purchase. If you buy the product from more than one supplier, their prices appear side by side in date order, which makes it easy to compare. Set a long date range to see the full picture.

What does quantity adjusted mean on the report?

It's the number of units from that purchase that were later changed through a stock adjustment, for example written off as damaged. It sits beside the quantity received so you can see how much of a delivery actually went on to be sold.

Does the report include purchase returns?

The product purchase report lists what was bought. Returns to suppliers are recorded separately through Purchase Return and are totalled on the purchase and sale report and the customer and supplier report. Each return records the supplier, location, reference, date and the products returned, with lot and expiry where used.

Can I export the product purchase report?

Yes. Like the other back office reports, it can be exported or printed from the report table once it has loaded. Set the filters first so the export holds only the location and dates you need. Your bookkeeper can then work with the file in a spreadsheet.
