Steps
- Open the list. In the sidebar, open Expenses and click Expense Categories. You need permission to add or edit expenses.
- Add a category. Click Add to open Add Expense Category.
- Name it. Type the Category name, such as Rent, Utilities, Repairs or Supplies.
- Add a code if you use one. Enter a Category code, for example the account number your bookkeeper uses. It is optional.
- Save. Click Save. The category appears in the list with Category name, Category code and Action.
- Edit or delete. Use Edit in the Action column to rename a category and click Update, or Delete to remove one you no longer use.
Choosing categories
Keep the list short and match it to how you or your accountant look at costs: rent, utilities, wages, repairs, marketing, supplies. A short list gets used; a long one leads to expenses saved with no category, which the Expense Report groups as Others.
Category codes are useful when you hand expenses to a bookkeeper, because exports can be sorted by the code.
Frequently asked questions
Can I have sub-categories for expenses?
Expense categories are a single list with a name and an optional code. To split a category further, create separate categories, for example Utilities - Hydro and Utilities - Gas, and pick the right one on each expense.
What happens to expenses if I delete their category?
The expenses stay, but they no longer have a category and are grouped under Others on the Expense Report. Edit them and choose another category if you want them reported by type.
